Toronto Business Relocation Guide – Process & Checklist

Moving a business in Toronto, ON or elsewhere in Canada can be a necessity, a choice taken for improving the business, expanding it or changing its purpose.

In any situation, relocating a business in Toronto is a task that requires attention and preparation. Making a business relocation plan, learning what the process is, estimating the costs and expenses, preparing a business relocation checklist of the tasks to be done, finding the most reliable Toronto office moving companies, etc. are all important steps to consider.

Toronto Business Relocation Guide

The business relocation process may look like a difficult task, but once you make a good plan and break it down to a few simple steps, the work to be done becomes more understandable and much easier to accomplish.

  • Start early. The earlier you begin your preparation, the better and smoother your Toronto office moving process will be. Depending on the size of your office and the goals of moving, the preparation of your Toronto business relocation plan should begin between 6 and 12 months before the move minimum.
  • Be realistic about where you are right now. Before implementing any Toronto business relocation plan, be clear about why you are moving your business. Do you want to lower the rent of the working premises? Do you want to make a change in your work, like hire more people or merge departments?
  • Prepare your business relocation plan. Write down all the deadlines for payments related to the move like rent, utilities, etc. You need to make a Toronto business relocation checklist that contains the tasks to be completed, a deadline and any other special conditions that apply. Gathering all this information in a word or excel file will help you organize it better.
  • Know your business needs. You need to decide a few basic things like where to move, what you will need in your new office, what will your new business plan be, what expenses are you ready to take, will you need more people, which Toronto office moving company to select, etc.
  • Make the best team. Our business relocation guide wouldn’t be complete without this step. The whole company needs to work together for the success of the moving. It is very important to denote the right people to be responsible for the different business relocation tasks. Appoint someone to lead your Toronto business relocation process and manage it.
  • Hire reliable Toronto office movers. Find high quality Toronto business relocation companies from our database. Get at least 3 – 5 quotes and compare them to find the most reasonable price. You can find Toronto business relocation companies that will do a great job for an affordable amount.
  • Take advantage of the move. Upgrade the technology, make changes in what your company offers in terms of services or production, change personnel, negotiate relocation with the staff you will be moving,  improve company performance, clear out any old files or use storage for documentation and office furniture you don’t need right now.
  • Business relocation incentives. Review what business relocation incentives there are available out there, such as waivers of permit fees of some or all fees, workforce training, different types of preferential financing, etc.
  • Keep all the receipts of your Toronto office move . You may be able to deduct some of the expenses from your taxes. This is an opportunity that is given to both individuals and companies.

Business moves are rarely simple, so you need to organize yourself and the company well before your Toronto office moving day.

Toronto Office Moving Tips: Moving Sensitive Equipment

Every Toronto Office relocation is different and requires certain steps to be taken. Moving sensitive office equipment requires some extra planning. Every piece of equipment needs to be well handled and carefully packed, loaded, unloaded and installed. Packing sensitive equipment, shipping and unloading it are all steps of an important process that – without the special care and supervision of Toronto office moving experts, could turn into a quite unpleasant experience.

What qualifies as sensitive equipment?

Generally these are items of a higher value used at your office. The list may include things such as:

  • equipment for photography and videography
  • copy machines
  • printers and scanners
  • disk drives, CD/ DVD drives
  • IT equipment (rack mounted equipment, entire racks, servers, data centers, computers, laptops, notebooks, monitors, etc.)
  • medical and lab equipment (those can include ultrasounds, infant care equipment, X-ray machines, hospital beds, etc.)
  • scientific equipment
  • air-conditioning equipment
    electrical equipment
  • fitness equipment
    safes & other security equipment
  • restaurant equipment
  • store fixtures
  • freezers
  • kiosks
  • trade shop equipment and displays
  • industrial and commercial heavy equipment
  • Automated Teller Machines (ATM’s)
  • pieces of art (sculptures, paintings, antiques, etc.)
    etc.

There’s a lot more to what is sensitive equipment, but this is just a list with examples. Whether you are moving your office locally in Toronto, ON, long distance in Canada or to another country, you still need to take a special care of your sensitive equipment.

Here is a few tips on how to move your sensitive office equipment.

Sensitive equipment moving plan

Prepare a plan of what to do and when, and start your preparation as early as you can.

Sensitive equipment transportation

  • Organize the work to be done. Start organizing the transportation of your sensitive office equipment at least several months before your office move itself. Such relocation can be more difficult and / or time consuming, so don’t wait until the last minute to do things.
  • Find the right sensitive equipment Toronto office movers. It could be temperature, light, heat, radio or other type of sensitive high-value equipment, in all cases you need to make sure it will be well handled. That is why you need to hire a well qualified and experienced moving Toronto office moving company with positive reviews and solid experience.
  • Ask the important questions. Your Toronto office moving company has got to have experienced workers and not temp labor. When thinking about packing sensitive equipment you should be aware how much the packing and packing supplies will cost you. In some cases the sensitive equipment Toronto office movers will prepare special crates which will make your move more expensive but without them damages during loading, transit and unloading are highly possible.
  • Get a free no-obligation moving estimate from several Toronto office equipment movers after you have checked their background. And then select a few, preferably at least 3 quotes, and contact the office moving companies in Toronto to request physical estimations.
  • Arrange for the Toronto office equipment moving services. Do you want packing, dis-assembly and in-place installations? What moving insurance do the equipment movers offer and which option do you prefer? What are all the possible charges that could apply? Have you considered storage and transporting sensitive equipment there? Is humidity and temperature transportation available (if needed)? After that arrange the pick-up, shipping and delivery time and date.
  • Not hiring a sensitive equipment Toronto moving company is dangerous and risky. First of all, think about your health. Moving sensitive electronic equipment yourself can cause injuries, especially if you don’t have much experience. Second, improper handling can damage your goods.

Toronto Office Moving Tips: Moving IT Equipment

When moving your office in Toronto, ON or elsewhere in Canada, moving IT equipment, a data center or a server room is not going to be as difficult as you may expect it or fear it to be. All you need to do is get the right preparation, find the reputable Toronto IT equipment movers that you may need and make a good plan.

We prepared the tips below to prepare for your Toronto IT equipment relocation.

Make Your Server Relocation Plan Template

  • Prepare an IT equipment relocation checklist to prepare for your office move. Think of everything you have to do. Set deadlines and appoint responsible people. Then distribute the list to everyone responsible as to when and what they will have to do.
  • Spread the word. Let everyone know that you will be moving your IT equipment. The staff needs to know so that they are not surprised if the network is out of reach for a while.

Server room relocation

  • Prepare the area for the server room relocation and then transfer the IT equipment.
  • Make a back up. Copy all the important information just in case that something goes wrong around the move.
  • During IT equipment relocation or when the technology arrives you may encounter some faults. So be ready to get a new piece of technology right away – that is why it is important that your vendors are aware of your server relocation plan too.
  • Make sure you can connect everything back easily. Take photos of how everything is connected, you can even put the photos inside the boxes with the equipment. Clean everything up and pack it carefully.
  • Prepare the area. Whether it’s a staging or a roll out, the place needs to be ready for the technology. Get the premise ready and then begin the move of the IT equipment.
  • Be ready if something doesn’t work right. Of course, you may be hoping for the best but no one knows – in case something happens like a server is out be ready with the right technical help to get it fixed right away.

Choose Your IT Movers

  • Find a few Toronto IT equipment movers and get a quote. You will need to compare the estimates you get from different Toronto IT relocation companies and choose the best one. Just have in mind that the lowest price is not always the best deal.
  • Reliable Toronto IT equipment moving companies should have experience and be well rated. They can disconnect the IT equipment, disassemble it, pack it right, transport it, unload it, put it back together, and even power it up.
  • Include an insurance inquiry in your server room relocation checklist. In case of accidents on the road you need to have a coverage for your IT equipment.
  • Plan the other server relocation services that you will need and agree on a moving date with your Toronto office moving company.
  • No cost can be predicted completely accurately unless you get a visual estimate. Compare the office and IT equipment relocation quotes that you get from Toronto office movers, read reviews on their websites, and make a careful decision.

Rollout Solutions During Toronto Office Relocation

Before discussing details about making a rollout plan for your Toronto office relocation, let’s first see what “rollout” actually means. Rollout refers to an opportunity to improve your company somehow by implementing a change. It could be a technological innovation or some other, it could be combined with a relocation to a bigger office or another business building, expanding your business or narrowing it, optimizing the work better, etc. It may also refer to installing a new software or introducing a new IT system.

A company relocation is a wonderful opportunity to plan some changes inside your organization and make it more efficient overall. Since you are relocating your business in Toronto anyway, why not use the time for moving and implement some changes.

Finding Rollout Solutions

Rollouts are usually time consuming and very stressful. And if you add to that a Toronto office relocation or implementing the change in few different places, like offices or factories, it may be even more difficult.

From the smallest task like moving a kiosk, to seasonal promotions, organizing displays, etc. – you’ll need to have the best job done. That is why finding Toronto rollout solutions is crucial to the success and growth of your company whether that be a commercial or government organization.

Below are some rollout solutions for your business, and tips on how to prepare for a business rollout.

When looking for a rollout company in Toronto, have in mind that you will need one which can create a rollout plan for you based on your unique needs and requirements.

Prepare Your Rollout Project Plan

There are a few questions to be answered when planning your company rollout:

  • Decide for the success of your organization or unit in the implementation of this rollout. Does this plan match the goals and directions of development of the company? Why have you decided on these measures in particular?
  • Check the influence of the roll-out inside your company. Are your employees looking forward to a change? Is the technology easy to work with? How will this change influence the employees? How will the work flow change?
  • Consider the effect of a rollout in the overall functioning of your business. What will it improve? What opportunities will it create? What is the most influential aspect of this change you are looking forward to bring about?
  • See how the high level management or the whole unit will be engaged in these improvements. Are you well familiarized with the new technology or approach you are trying to implement? How will it benefit the managers and your unit in their work? What do the people involved need to do for a successful rollout?
  • Check the technology you are interested in first and its supplies. How does it work? What contribution can it make? In cases of other companies using it, what bettered? What problems or faults with the technology do you expect and how can you handle it?
  • One last, but very important tip. Combining a rollout and business moving in Toronto, ON or elsewhere in Canada is not easy. Some company owners even take moving as part of the rollout itself. That is why, especially if you will be relocating, you can use the services of a reliable Toronto office moving company.

National Rollout Companies in Canada

Rollout is quite stressful so finding the solution in an experienced Toronto rollout company is the way to make things better.

  • Your Toronto rollout company should be flexible – ready to work after hours and during the weekends, with availability to load for moving or deliver technology, equipment, even waste or debris, if this is what you need.
  • The rollout company that you need should have logistic and other experts at hand and specialists that can wrap safely and organize the move of the goods you tell them.
  • If you need installation of equipment look for technology rollout companies.
  • Before hiring a particular national moving company make sure that it provides exactly the services that you need – like moving technology or installing software.
  • Some national rollout companies use management systems and methodologies that are based on experience and can make their work even more efficient.
  • Finding the right rollout company will decrease your final costs significantly. If it has the right experts and good experience you can be sure that the job will be done much quicker, safer and more efficient than you might manage it yourself.
  • If you want to do the rollout yourself, then follow this link to an MS Office rollout plan template. With the possibility to insert deadlines for implementation of tasks and mark milestones this tool may be quite helpful.

Toronto Office Moving Tips: Moving & Working in a New Cubicle

Relocating an office is quite different from a residential move.

Usually when it comes to moving a home, everyone is imagining piles of boxes to carry around, a truck with all sorts of things in and people moving heavy boxes. One of the major differences between commercial and residential relocation is that during a corporate move there are usually less items to move.

Cubicle move is also a type of office moving. How can you plan your cubicle relocation in order to implement it easily and successfully, and what do you need to know for the new working area that you will have?

Moving into a new cubicle

Moving to a new cubicle begins by being aware of the new area that will be at your disposal. If you will have the same or less space, it would be of benefit to you to review the items at your desk and decide what you will really be using.

Minimize the amount of items to be moved when moving to a new cubicle. If you are keeping many items you don’t really use, it may come handy to find them a new place – perhaps in the garbage!

Second hand paper can be used for packing your items. When moving to a new cubicle, the less to move, the less to pack and the less time to do it.

Remove personal items from your workplace

Collect some packing supplies. Surely when moving to a new cubicle your company will provide you all you need, but in case you want stronger or bigger size boxes you can find free moving boxes in many ways without taking any extra effort or spending any extra cent.

You can talk with your colleagues and you can organize collecting boxes for your cubicle moves.

How to move a cubicle

  • Clean up your equipment before packing. Wipe it with disinfectant wipes and clean the keyboard of your computer. You can use for your cubicle move compressed air – try it and you will be surprised to see what will come out!The same goes true for your new cubicle. Wipe up the desk and all open surfaces – taking care of your health is strongly advisable.
  • Take care of the electronics. Usually large companies will have an IT department to take care of this task but in case that you have to do it here’s what you need to know. If moving into a cubicle involves packing your electronics turn off and unplug all machinery. If you keep their manuals you can see if there are any special instructions to follow. After you unplug your technology remove the connected cables, fold them and tie them. Keep all parts together – for example place the computer cables where the PC is packed. You can see in detail how to pack your computer here.
  • Collect the most important files and info from your computer in case you will have to continue working while your PC is away.

Working in a new cubicle

Here are some tips to help you manage your work better after moving into a new cubicle:

  • Make all your personal calls outside the working area. Cubicles give less privacy since there are no doors and no real walls around you. You can make personal calls during the breaks or in an office/ conference room not being used at the moment.
  • If you share a cubicle with other people, use headsets for phone calls and not the speakers. It can be very distracting to everyone around especially if your cubicle has 3.5 feet tall walls and not the 5 feet tall ones which give a bit more privacy.
  • You can make your cubicle relocation simpler by finding free boxes easily.
  • In order to have more privacy after moving into a cubicle you can use ear plugs or headphones to block excessive noise. Other people’s talk may distract you and you will decrease for you stress like this.
  • And last but not least, when moving into a new cubicle try to make it a bit cozier. Bring from home an item that brings positive associations to you and think of what else you can do in order to make your new working environment more welcoming.

Surely you can make your best from the cubicle moving and from the time you will be spending in your new working area. Take the cubicle relocation as an opportunity for something new and positive to happen to you.
