Office Relocation: Tips to Consider before Unpacking

When businesses are planning their office relocation, they usually face unpacking as the biggest challenge in the whole office moving process, in addition to office packing and moving being already challenging.

The packing procedure that a business has to follow is tedious and time-taking, and risk of office equipment and appliances to get damaged is quite high, which adds to overall stress. Following are some tips that will help you with unpacking your office items and will assist you in settling in your new office space.

1. Documents. As you and your team are busy packing your office items, it is quite possible to lose some important items such as documents. You shouldn’t put any important documents in different moving boxes as there’s a high chance of losing them during unpacking. Since every batch of documents will be from a specific area / department of your office, your documents might get scattered all over the place.
The best way to tackle this problem is by maintaining a single folder for all such important documents. Keep that folder with you in a small bag or place that folder in a carton box and label the box so that you can unpack it first when you reach your new office location.

2. Office Appliances. Another thing you should know upon reaching your new office place is how to use the appliances. It is important to know how to operate some of the appliances at your new office and how to save energy while using them. Without such knowledge your utility and electricity bills might be be bigger than you expected. Consulting a professional is the best recommendation in this case.

You should also learn where exactly the electric box is placed so that you know what to do when some interruptions happen, such as a blown fuse. You should also know some other office maintenance details such as how to turn off water supply or gas supply.

3. Surrounding Area. Unpacking also requires some basic familiarity with your surrounding area. Once you have reached the new office location, make sure that you know some of the key spots near your place. Such key spots include emergency places such as hospitals and fire stations.

There are countless other considerations to be aware of when relocating offices. For more on our commercial moving services, call us on (647) 497-7747 or fill out our Contact Form for a free consultation.

Some Last Minute Office Moving and Packing Tips

As the last days before your office moving date arrive, things start to move forward quickly. When these moments arrive you will start noticing that more difficulties arise because very little time is left to manage things.

Here are some tips that will help you to remain organized in those last moments before your office relocation.

Extra Cartons

Preparing extra cartons will always prove helpful. Even when you have packed everything there will always be some items that you will remember about just before your move. These newly discovered items will have to be packed as well and you will need additional cartons for that. When you find such items, just stuff them into those extra cartons. Use some tape to seal the cartons and toss them in your moving vehicle.

Extra Vehicles

An extra vehicle can prove quite crucial on your office moving day. There have been cases when businesses had many things to move and those things did not fit in their moving vehicles. Such problems can be fixed by arranging a new vehicle on an urgent basis.

Arranging a new vehicle would obviously take time and would delay the office move. So it’s always better to have a backup plan or a ‘Plan B’ which allows you to carry on with the move without any interruptions.

Man Power

If you are not taking help of a professional office moving company for the move, then you should always have extra man power with you to help you with your office moving.

Office furniture and appliances are quite heavy and sometimes require three to four people to move each item safely. If you cannot arrange for extra man power on your office moving day, then make sure you alert your office moving company about the large items in your office.

Recycling while Moving Your Office

During an office relocation, packing and moving experience may be quite stressful. While there is a necessity to cope up with this stress by taking some important measures and steps, it is also important to take care of the environment.

Here are some recycling techniques and tips that will help make your office relocation more environmentally friendly.

  1. Use Newspapers for Packing

Newspapers can be used as packing material. You can use them to wrap some delicate and fragile items that are at a danger of being damaged or scratched. Newspapers can also be shredded and stuffed in the moving boxes to fill up empty spaces so that damage can be minimized within the boxes while they are in transit.

The reason newspapers make it to this list is because they are not only cheap and easily available but also don’t harm the environment too much as they are biodegradable.

       2. Use Recyclable Styrofoam

If you are going to use Styrofoam to fill up the empty boxes then you should know that Styrofoam is sometimes non-recyclable. If the Styrofoam that you are using is recyclable then you can easily recycle it by sending it to a recycling company through mail.

       3. Use Plastic Recyclable Packing Peanuts

Plastic packing peanuts can also be helpful for packing and can be used to fill up moving boxes that contain fragile items that are in danger of getting damaged while in transit. Some plastic packing peanuts are recyclable and you can recycle them easily by sending them through mail to a recycling company or other companies who can use and recycle them.

Packing and Moving Challenges During Office Moving

If you have some large items in your office that you think you cannot pack and move yourself, then it is best to get help from a professional office moving company. You can manage to pack up small office items but when it comes to packing of your office furniture and appliances, you need help from a professional office moving company.

There’s definitely many large and valuable items that will need to be taken care of while moving and are considered as challenges. The following guidelines will help you in keeping such items safe while moving even if you decide not to use services of an office moving company.

Large Screens and Television Sets

Basically all electronic items and appliances should be given special attention. Since screens and television sets are valuable and rather costly, they should be packed appropriately. Screens and TV sets can be easily damaged while being moved and it is important to pack them carefully.

In order to pack a screen or a TV set it is important to first pack it by using foam on all corners and sides to avoid dents. After application of the foam, the item should be placed in a box of adequate size for moving purposes. The box should also be marked “Fragile” so that the movers take special care of it while placing in the moving vehicle.

Mirrors and Decoration Items

Both mirrors and decoration items are fragile and delicate which increases their chances of breaking while moving.

Such items should be packed with a special packing material. If you do not want to buy packing material then you can always use newsprint for that. To be a bit more efficient you can bubble wrap the items. Once your mirrors and decoration pieces are wrapped appropriately, they should be slid in a box of an appropriate size.

Computers and Other Electronics

Computers and other office electronic devices should be given a similar treatment as screens and TV sets. They should be first covered with foam so that they don’t get damaged by small bumps while moving. Once the foam is used, computers and electronic devices should be slid in box of appropriate sizes. If you still have the original boxes of your computers – that would be ideal.

Minimizing Wastage During Office Moving

One of the most common things that happen during office moving is wastage. Wastage happens either because of improper planning of packing and moving or lack of efficiency while performing the packing and moving tasks.

Below are some of the tips that will help you in reducing wastage and moving your office efficiently.

Management of Boxes

Some companies buy boxes especially for moving. This is one form of waste where money is wasted. The best way of getting boxes is by saving them a month before your office move. If you get boxes with the items you buy then simply do not throw them out.

Another way of getting free boxes is by contacting the nearest grocery stores or retailers. Many stores are kind enough to give out used empty boxes for free. Once you have used the boxes and moved to a new office location, do not forget to recycle those boxes.

Packing Materials

While most companies get bubble wrap and special packing material for wrapping and for filling up empty spaces in the boxes, another great alternative is using newspaper. Fragile items can be easily wrapped with newspaper and this is a cost effective alternative that will save up some money on packing material.

Dispose Appropriately

When you move out of your current office, make sure that all the hazardous materials are disposed appropriately. Such materials might include unused paint, cleaning sprays and other hazardous items. Your local waste management company will guide you best in these matters.

Donations

If there are some items that you do not want to move to your new office – do not just throw them away on a sidewalk. It is best to donate such items to some charity. If you think there are some items that are too valuable to be donated, consider selling them online.
