How to Label Boxes while Packing for Office Moving

Packing the items in boxes is just one aspect of office moving. It is also important to label those boxes so that you can identify them easily while unpacking.

During packing a person should always take into account the hassle that will occur when unpacking will be done. Following are some tips that will help you in remaining organized and will explain how to label the boxes to make unpacking convenient.

  • Label on all sides

Apart from the bottom side you should make sure that you label the boxes on all sides including the top. This will only make unpacking easier for you since you would not have to rotate the boxes in order to identify them.

The labeling system depends on your personal preference but ideally it is preferred that you label the boxes based on the location for instance ‘Boardroom’ and ‘Kitchen’.

  • Use colors

Using different colored markers is not a requirement but it should help you in organizing your office items efficiently. For instance, you can use black marker to label the room on the box and a red marker to label the items that are in the box or carton. It is obvious that kitchen would have to be packed in multiple boxes and using a different color to label items present in the box will be helpful while unpacking.

  • Prioritize

There will be some boxes that will have to be prioritized.  First of all you will have to pack a box with items that will be required immediately such as toiletries, cleaning material and other items of high importance. Make sure that you label such boxes with a different color so that you can identify them with ease.

  • Cautions

Cautions and warnings are very important in the labeling process. There are going to be fragile items in the boxes and it is your responsibility to mark such boxes with a note that says ‘Handle with Care’ or ‘Caution: Fragile Items inside’. These labels will give the movers and you a reminder to handle them with care to avoid unnecessary losses and breakages.

Effective Communication with the Office Moving Company

If you are taking help from a moving company in relocating your business, you should first of all ensure the effective communication with that company. Here are some tips to help you in that process.

  • Make sure that your office moving company has your updated contact details. Such contact details should include your business address, phone number and even email address.
  • Make sure that the sale representatives of your office moving company convey the pricing of the moving services to you. The sales representatives should not only convey the pricing but should also give you some recommendations in preparing for your office move.
  • Once you have accepted to have services from an office moving company, the company will start sending you some resources that will be essential for moving. There are some companies that offer their clients the luxury of having a personal moving coordinator. If you are lucky enough to have a moving coordinator then most of your problems will be solved smoothly as such coordinators are great with management and logistics.
  • Once your office has been packed, all the packed items will be loaded on a van or a moving truck and from there on the van operator will be responsible for the move since he is the one who will be driving your items to the new location. It is important to have his contact details so you can track where exactly your items are and what the progress is.
  • After your office move is completed, it is important to update the moving company with your new office contact details in case there are other items left to be delivered to your new office.

How to Prepare a Packing List for Office Relocation

It is very important to prepare and maintain an inventory packing list when moving your office in order to keep track of all the items that will be moved.

Just to be on the safe side – even if you are hiring a professional office moving company to handle your packing and office relocation – make sure you prepare and maintain a packing inventory list.

Once you confirm your office relocation plans, list down all the items that will be moved. Make sure you have plenty of time to finish the list and not miss anything. If you make an attempt to complete the packing list in short time while being hasty, there is a possibility that you will miss out on a few important things.

Couple Tips on Making an Inventory Packing List:

  • Pick an area of your office of your choice and use it as a starting point. Include every piece of office furniture and equipment that is going to be moved. Add paintings and decoration pieces to the list as well, if any.
  • To make a list you can either use your computer or just make it on a piece of paper with your manual writing. Divide a sheet of paper in four columns. In the first column write the name of the item. The second column should contain the estimated value of the item that is listed. In the third column you can write some notes regarding the condition of the item since you will want to note its condition after it is moved. There are chances of wear and tear during the move and if there is any loss you can point that out to the moving company. The fourth column is for your reference and should contain the original location of the item.

Making an inventory packing list would definitely help you with having a record of your office belongings and keeping your piece of mind while relocating your business.

Benefits of Containerized Office Moving

Moving an entire office at once is a difficult, time consuming process. Oftentimes, whether it’s due to dates not lining up correctly, unforeseen occurrences or any other hiccup in the moving process, you’ll find yourself needing to store your office goods for a period of time.

While storage can be simple to arrange, the prospect of having to unload all of one’s goods into storage only to remove it days later sounds like unnecessary costs and headaches to most business people.

Doing your move with a shipping container is a great way to combat this, as it ensures your possessions are kept in one spot between your old office and new one. This office storage solution guarantees a safer, simpler process for your goods in transit, and helps save money on transportation as well!

Overall, it’s a great option for commercial moving and storage, effectively combining them. If you’re worried about how long your office goods are going to be out of their new office for, it may make sense to consider using a shipping container.

More Handy Office Moving Tips

We’ve always got more helpful tips to aid you with your next office move. The next time planning starts proving inconvenient for you, consider trying the following:

  • Weekly or bi weekly move conferences: a short meeting to touch base with the rest of your employees on where they are at with the move is a great starting method to getting your bearings and knowing what the tasks at hand are, as well as who is prepared and who needs to be.
  • Keep your clients informed: depending on your business, certain clients will work closely enough with your company to warrant keeping them updated throughout your office move. Important clients, or any current projects should be made well aware of your move in advance when doing business with you.
  • Find objects to purge from the office: consider dedicating a bit of time before your move for you and your employees to purge unneeded items from the office. Nobody wants to be stuck with unexpected fees on moving day. Underestimating the amount of space needed for your office can spell out much higher costs down the road. Try spending some time cleaning and organizing your office, figuring out if there’s any old furniture or equipment that can be thrown away or donated to charity. Cleaning your file cabinets of irrelevant files is another great way to cut down on your amount of goods being transported.
  • Figure out the essentials: this will come naturally with purging unwanted items. Even after the move is done it could be some time before everything from your old office is ready for service and use at the new, which makes it important to determine exactly what you and your employees need to get started before moving to a new office, and separate it from other items accordingly. Computers, routers for internet connections, or important documentation could all fall under this criteria, so make sure you know what is and isn’t necessary. This way, while not everything will be unpacked immediately, your employees will have what they need to start working the next day without any significant downtime.
  • Plan a party: it doesn’t hurt to try and boost employee morale (and your own!) right after a stressful move.
