How to Prepare a Packing List for Office Relocation

It is very important to prepare and maintain an inventory packing list when moving your office in order to keep track of all the items that will be moved.

Just to be on the safe side – even if you are hiring a professional office moving company to handle your packing and office relocation – make sure you prepare and maintain a packing inventory list.

Once you confirm your office relocation plans, list down all the items that will be moved. Make sure you have plenty of time to finish the list and not miss anything. If you make an attempt to complete the packing list in short time while being hasty, there is a possibility that you will miss out on a few important things.

Couple Tips on Making an Inventory Packing List:

  • Pick an area of your office of your choice and use it as a starting point. Include every piece of office furniture and equipment that is going to be moved. Add paintings and decoration pieces to the list as well, if any.
  • To make a list you can either use your computer or just make it on a piece of paper with your manual writing. Divide a sheet of paper in four columns. In the first column write the name of the item. The second column should contain the estimated value of the item that is listed. In the third column you can write some notes regarding the condition of the item since you will want to note its condition after it is moved. There are chances of wear and tear during the move and if there is any loss you can point that out to the moving company. The fourth column is for your reference and should contain the original location of the item.

Making an inventory packing list would definitely help you with having a record of your office belongings and keeping your piece of mind while relocating your business.

Packing, the Tools of the Trade

Packing belongings effectively takes some careful planning if you want your goods to make it to their destination without any significant wear or damage.

There are many methods one can use to go about packing, and we would like to list out some of the most useful things to keep on hand when packing your office for a move:

  • A Sharpie pen: Labelling is critical to organization during a move. Keep one of these handy to mark any boxes you seal with what is inside.
  • Boxes/cartons: Keep a healthy supply of these while packing to ensure you don’t run out of space. If you do not wish to arrange specialized cartons from your moving company, liquor stores are often a good spot to find sturdy, empty boxes at.
  • Wrapping/packaging Paper: Padding inside packed boxes helps keep items safe and secure while in transit. Newspaper can also work for this, but its ink could also stain your goods while packed.
  • Packing tape: Used for sealing boxes when satisfactorily full. Any kind of tape could do, but we find plastic or duct tape to be the most ideal types to use, preferably 2 inch wide.
  • Stretch wrap: Unless your mover is providing this, a large roll of plastic wrap will be helpful for finalizing the packing of your items and protecting the exterior of your boxes from moisture or dirt getting inside.

These are just the bare essentials to have when packing, however. Depending on what needs moving, more specialized equipment could be required such as china cartons or a box for large paintings.

Always consult your mover when packing to find what items need special attention or extra planning around.
