How to Find and Rent Toronto Office Space within Your Budget

Finding and renting an office space in Toronto, ON that is right for your budget is not as difficult as you might think. We prepared some tips below to help you:

Step 1: Estimate your budget
By establishing your budget, you will save a lot of time during your Toronto office spaces search. Part of establishing your budget is deciding if you are looking for a raw Toronto office space that will require you to purchase office furniture and equipment, or if you want to rent a serviced Toronto office space that comes with office furniture.

Step 2: Figure out how much office space you need
Do you need a small 500-square-foot office or do you need 5,000 square feet of space? Calculating how much office space your business needs is not an exact science. The general rule of thumb is to allow anywhere between 125 and 225 usable square feet of office space per person. This, of course, depends on the type and style of your business and the workspace layout. In addition to square footage, the estimated number of permanent offices and rooms required will also help you in a more efficient office search.

Step 3: Find 4 or 5 quality Toronto office space options
You can go through a broker in your area to find Toronto office space, or you can do your own search on sites like SpaceList or even Craigslist. Once you have a number of spaces to consider, you should then narrow down your search to 4 or 5 quality Toronto office space options. Once you have narrowed your choices, visit all your chosen Toronto office space options.

Step 4: Select Toronto office space that is best for your business
After considering your options and reviewing your notes against your initial criteria of requirements, make your choice and select Toronto office space that is best for your business. This sounds like a simple task, but without all your legwork and notes it can be difficult. Have a list of questions before you start your search and use it as a checklist.

Step 5: Negotiate your lease
The listed price of Toronto office space you choose may be within your budget, but that does not mean you should just blindly sign the lease or rental agreement. If you are signing a lease, check what are the terms in length of stay and if you could you sign up for a shorter term? (a shorter lease is better for you in case rents in your area fluctuate, or if it turns out to be an unfavorable location for your business). Most importantly, you want to know of any hidden costs that are mentioned in the lease.

Tips for Planning Toronto Office Moving Relocation

The logical way of avoiding the pitfalls that could arise during Toronto office moving is to hire professional Toronto office movers – and our company just happens to provide exactly that! This article, however, is for those who are more prone to DIY. We have broken the office relocation planning process down to 8 key periods to help make your Toronto office move get properly organized and run smoothly.

Preparing Your 8-Point Toronto Office Moving Plan

  1. 6 Months Before
This is the ideal time to start getting the wheels in motion, with plenty of time before you Toronto office moving day to sort out any complicated issues. The key steps at this initial stage are:

    • Establish an Office Moving Committee – You can’t do it all (don’t even try), so select a small number of staff to oversee the various aspects of the move. Usually 2 people is enough, but you may need 3-5 people.
    • Select a Space Planner and Interior Designer – A space planner can organize the layout of your new Toronto office in advance so your Toronto office movers will know where every desk, chair and filing cabinet are going to be. An interior designer can assess design aspects. It may not seem important, but everything that affects the space available needs to be considered.
    • Consult your IT staff – You want to make sure communications systems, including internet connectivity, suffer a minimum disruption in the build-up to, during and immediately after your office move. So you need to discuss how best to achieve this.
    • Request cost estimates – Get your Office Moving Committee to start looking for the best-value professional Toronto office moving companies. Keep in mind that low cost can sometimes translate to low standards, so don’t make a decision on cost alone. Check Yelp and Homestars to review Toronto office movers.
    • Identify initial layout of computer facilities – One of the most important elements of any office moving plan is identifying the best computer set-up infrastructure. Ensure power points are close to desks and computer cables can be tucked away neatly.
  2. 3 Months Before – Get the Moving Committee again to get updates on how things are progressing. Each member should prepare a complete report on their specific area of responsibility. Some of these areas include choosing the new telecommunications system, necessary office design changes identified and an adequate computer infrastructure designed.
  3. 2 Months Before – With 60 days to go before the move, it’s time to nail things down. So, you need to have supply, telecommunication and floor plans confirmed, like the telephone service, stationery supplies, copier service, and plant service. Now’s also a good time to make a final decision on a Toronto Office moving company.
  4. 1 Month Before – This is when the nuts and bolts of the moving day plan needs to be decided, like the packing procedure and prioritizing items for unpacking and re-assembling. It’s also when you start to brief the staff on what is happening and their responsibilities (packing their own desk items). You should also notify customers of the impending move. Appoint a customer liaison officer they can contact with any queries.
  5. 2 to 3 Weeks Before – Time to check on the status of parking spaces, that security is fully briefed and that all of the relevant keys are available. Also, meet with your selected Toronto office moving services provider should be fully aware of the floor plan layout and furniture removal strategy.
  6. 1 Week Before – With D-Day (M-Day?) around the corner, update your staff on the events of moving day and their roles to play. It’s a good idea to provide them with guides on good packing techniques, and to timetable the packing process. You can also start to label furniture and double-check floor plans.
  7. 1 Day Before – The final packing and labeling should be done, but at the new premises make sure the phones are up and running. Post floor plans up on the walls so staff can check out where their new desks and workstations are located.
  8. Moving Day – Keep non-essential personnel away on moving day, so only moving teams and members of the Moving Committee should be on-site. Everything should be unpacked and in their proper place in time for the first day’s operation in your new office.

Office Relocation Tips for a Smooth Toronto Office Move

Toronto office relocation can be both exciting and daunting. Whether you’re scaling up or downsizing for efficiency, moving in or out of Toronto, ON or elsewhere in Canada, there is a lot of components to take care of.

Here are some key moving tips for businesses to make their Toronto office relocation smooth.

  1. Plan in advance

If possible, start planning your office move 4-6 months before the moving day in order to attend to all of the details without becoming overwhelmed. Once you know you’re moving into a new office in Toronto – scope out the space and decide on the layout, including where everything and everyone will go.

  1. Find and hire Toronto office moving company early

Since moving a business office involves moving a lot of equipment and office items, be sure to get a full estimate and hire a full-service Toronto office moving company 1-3 months ahead of time. Make sure they have experience with commercial / office relocation and ask them for an on-site Toronto office moving quote. Your Toronto office movers should be held to the same professional standard as anyone else you do business with.

  1. Get the IT Team on board

Give your IT team 3 months advance notice to start planning the transfer of all things technical: equipment, internet plans, phone connections, etc. They will also need to evaluate the new office space for any upgrades that need to be made, either to the infrastructure or to equipment being brought to your new office.

  1. Order new equipment well in advance

You want to have everything you need when you relocate to your new Toronto office, so 1-2 months in advance you should start putting in your orders for any new equipment and furniture. Coordinate with your suppliers to have your purchases arrive at your new office just before you move in.

Toronto Office Moving Tips for Employees

When moving an office or business, most employers require their employees to pack their own office and files. Here are some tips to assist employees during the office moving day.

Communicate with your supervisor

Make sure that you are communicating with you supervisor about your office moving day. Your company should be discussing the office moving date and plans with you periodically as the office move day approaches. And if your company is not communicating with you on that, then you should be going to your supervisor for direction. Ask questions like:

  • What you are allowed to take to your new office?
  • What are the packing rules and process before you start packing?
  • When is the office move scheduled for?
  • What are your responsibilities on move day, if any?
  • What should be done with unwanted items?
  • Where will you be located at the new office and will this location limit the items that you will want to pack to move?

Packing your files

This is the part of your packing process that will take the longest amount of time. This is your opportunity to go through your files and determine what needs to be moved and what is no longer useful.

NOTE: Before you throw anything away – make sure that you know what your company’s document retention policy is and what their policy is regarding documents that are to be discarded.

Packing your desk

The key here is pack only what you need and will be using at your new office. Now is a good time to find out what amount of space you will have in your new office location. If you will have a different desk at your new office, see if you can find out what amount of space and storage your new desk will accommodate.

Preparing your computer for moving

If you have to prepare your computer for moving, some things to keep in mind:

  • Remove all disks from your computer
  • Turn off all power to both the computer and the monitor
  • Label all cords according to where the connect
  • Disconnect all cords. Loosely wind the cords and place them in a secure location for easy transport.
  • Obtain appropriate boxes for your equipment
  • Seal the boxes and label them according to the label instructions you received from your move coordinator
  • Pack your printer, scanner, and any other computer equipment the same careful way

Packing your personal items

For personal items the most important question is if you will need them at the new office? The second most important question is – is there room for them? Most companies require that personal items be moved by the employee as the company does not want to assume any responsibility for the items.
